Raising your first request

Welcome to Vertice! This tutorial is aimed at brand new Vertice users to get familiar with the end-to-end process of raising a request.

By the end, you will have raised a request, learned how to monitor its progress, respond to any comments or actions, and understand what happens when the request is closed.

Before you begin

You'll need to have been invited to use Vertice before you can continue. If you haven't received an invitation, contact your system administrator to request one. See below for supporting materials once you receive your invitation:

1. Open the Requests page

When you log in to Vertice, you'll always land on the Dashboard page. You can use the side-bar menu on the left-hand side to navigate to different areas of the platform.

Click Requests to open the Requests page.

This page shows all the requests you have permission to see. Since you haven't raised any requests yet, the page will be empty.

2. Create a new request

  1. Click New request

  2. Choose a request type from the list. Your available request types may look different to the ones shown here.

When you raise a request, you trigger a workflow which takes you through a certain sequence of steps. Most organizations use a variety of custom workflows, tailored to their specific processes. However, most follow the same basic idea.

A Request will trigger Tasks to be completed. These may be assigned to you as the Request Owner or diverted to another colleague or team. Tasks can be anything from a simple approval step to a more detailed form.

3. Complete Tasks assigned to you

If a Task has been assigned to you, a numbered indicator will appear next to Tasks in the sidebar menu. You may also receive an in-platform and/or email notification depending on your personal notification preferences.

  1. Click Tasks

  2. Click the task in the list to begin

  3. Follow the prompts to complete the task.

The information required and steps will differ depending on the task but here is a simple example: the task shown below requires you to type a response in the text field and select Approve or Reject

Completing the task will move the Request workflow along to the next stage.

Keep in mind, you may be required to complete more tasks as required by the Request workflow. Make sure you have notifications for updates enabled so you can stay on top of them.

4. Check the progress of your Request

You can check what stage your Request is at in a number of ways.

Check the request details

  1. Open Requests from the left-hand sidebar menu

  2. Click your Request in the list to view more information

  3. Switch to the Details tab to view more information including a Status indicator

You can also switch to the Workflow tab to view the entire flow and see what stage it is at.

Check recent activity

Click the Activity button to check recent activity on the Request.

Use comments to follow up with colleagues

  1. Click the comments button at the top-right corner of the Request

  2. Add your comment using the text field — use '@' to mention a colleague

  3. Click the Send button to submit your comment

  4. Click the bell button to subscribe to notifications on the conversation so you can stay up-to-date

5. What to expect when the Request is completed

When the Request is completed, you will receive another notification. The Request will be moved into the Completed status. To see it:

  1. Go to Requests

  2. Click the Completed filter to view all completed Requests

Congratulations, you've completed your first Request!
